The Role

Our client is seeking a passionate and enthusiastic Senior Medical Receptionist to lead our front-of-house and administrative functions and support the smooth day-to-day operation of the practice.

This role plays a key part in delivering a respectful, professional, and compassionate client experience. Working closely with the Practice Manager, clinicians, and advocacy teams, you will provide senior reception oversight, coordinate client and patient administration, and help ensure clinical and administrative workflows operate efficiently.

This is a full-time, Monday to Friday role, suited to someone who thrives in a structured healthcare environment and takes pride in being the steady, capable presence at the centre of the practice.

Key Responsibilities

  • Lead front-of-house operations and deliver a high standard of client service
  • Manage patient enquiries, referrals, onboarding, and appointment coordination
  • Support clinical and administrative documentation processes
  • Maintain accurate and up-to-date records in CRM and practice systems
  • Provide senior reception oversight and support to the Practice Manager
  • Assist with billing, accounts follow-up, and general practice administration
  • Liaise with clinicians, advocates, veterans, and families to support the client journey
  • Identify and contribute to improvements in reception processes and systems

About You

You are a calm, organised, and professional senior receptionist who:

  • Has 3–5+ years’ experience in medical reception or healthcare administration, ideally in a senior or lead role
  • Is confident managing front-of-house operations in a clinical environment
  • Communicates clearly, professionally, and with empathy
  • Is highly organised and comfortable managing competing priorities
  • Has strong attention to detail and understands the importance of accuracy and privacy
  • Is confident using CRMs, booking systems, and Microsoft Office tools
  • Enjoys working collaboratively and supporting leadership without needing full ownership
  • Is motivated by purpose and values respectful, Veteran-centred service

Essential Requirements

  • Current National Police Clearance (or willingness to obtain)
  • Eligibility to work full-time in Australia
